How do I keep track of job expenses when Iām out doing the work all day?
Whoās asking?
The contractor buying materials for different jobs throughout the week. By Friday, theyāre sorting receipts and trying to remember which purchase went where.
My answer
Give yourself a way to enter the expense from your phone while you still know what itās for. Choose the job, enter the purchase amount, and attach the receipt. If one purchase covers two jobs, split the cost between them.
The entry process needs to be short enough that youāll actually use it standing in the parking lot.
How I help
I build a simple phone-entry form connected to a job-cost tracker. Each expense goes against the selected project, so you can see what youāve spent compared with what you budgeted.
Thatās work Iāve done for a local contractor through InsideOut Strategic Growth Co. I build the form and the spreadsheet behind it around how the owner works during the day.
Why itās necessary
A receipt tells you what you bought. Connecting it to the right job helps you see where the money went. Add labor and the other job costs, and you have something useful to compare with your estimate before you price the next project.
You shouldnāt have to spend Sunday trying to remember what you bought on Tuesday.
